Notice is hereby given of the Annual General Meeting at 7.30pm Wednesday 21 October 2015, in the Foundation Pavilion, Guildford Grammar School.
Elections for the following will be held:
(1) President
(2) Secretary
(3) Web Master
(4) Committee Members
(5) Two members to the position of Fellow of Council of Guildford Grammar School (the incumbent Fellows plan to nominate for this election).
Nominations
Nominations (in writing) for the positions of President, Secretary, Web Master and Fellows of Council must be received by 7.30pm on 9 September 2015.

Council Fellow Nominee Election Process Information
1. The Old Guildfordians Association (OGA) has two seats on the Council of Guildford Grammar School. The current three year terms of the incumbents both end on 31 December 2015.
2. An election will be conducted by the OGA Management Committee, culminating in a ballot at the AGM scheduled for Wednesday 21 October 2015.
3. Participants in the election have a responsibility to make themselves familiar with the rules governing the election. Information relating to the rules can be found on this page and in attached files for downloading. A member may contact the OGA office to obtain the same documentation printed on paper. A summary of key information appears below, however, nominees should also consult the source documents referred to below.

5. The Method of Election has been resolved as management policy by the OGA Management Committee and approved by the Anglican Church Perth Diocesan Council (as required by the constitution of Guildford Grammar School and the GGS Statute 2000 of the Anglican Church Synod).

6. The presiding / returning officer for the election is Mr Denys Warren, President of the OGA. All queries relating to the election should be addressed to Denys Warren through the OGA office at the School (phone 08 9377 8522) or e-mailed directly to Mr Warren on denys.warren@citi.com
7. The key events and dates for the election are:
(i) 19 August 2015: Nominations are invited. Notice for OGA AGM is issued.
(ii) 7.30pm 9 September 2015: Nominations close for the election
(iii) 16 September 2015: Curriculum vitae, as detailed in points 12 and 13, to be received by the OGA Office.
(iv) 6pm Wednesday 23 September 2015: Nominees meet with the OGA Management Committee.
(v) Friday 25 September 2015: OGA Management Committee declares nominees who have qualified as candidates for the ballot.
(vi) 7.30pm Wednesday 21 October 2015: AGM for conducting ballot in the Foundation Pavilion, Guildford Grammar School.
(vii) 31 December 2015: Terms of incumbent Fellows of Council end:.
(viii) 1 January 2016: Terms of newly elected Fellows commence, for a three-year term.
8. Nominees' meeting with the OGA Management Committee: the purpose of this meeting is for the nominees to demonstrate that they each meet the criteria for candidacy for the election as set out in the Method of Election document. If the Management Committee determines that a nominee satisfies the criteria, the committee will declare the nominee a candidate for the ballot.
9. Church membership: One criterion is that a candidate must be a communicant member in good standing of the Anglican Church. A nominee who cannot make this declaration should seek a statement from the Visitor (The Archbishop of Perth) waiving this necessity, prior to the meeting with the committee on 23 September 2015 (refer clause 3(h) of the GGS Statute 2000, appended to the Method of Election document).
10. Skills and qualities for the OGA: The nominee should have sufficient time and commitment to, in addition to Council duties, attend the majority of OGA Management Committee meetings (held every month) and attend the majority of OGA functions to show support for the OGA and to keep abreast of OGA issues. It is also desirable for the nominee to have experience on the OGA Management Committee so that he/she understands OGA issues.
11. Each nominee is invited to submit a 250-word statement addressing his/her suitability for membership of the School Council and a personal photograph for distribution to the membership by posting on the OGA website and by e-mail.
12. Nominees are also required to forward a curriculum vitae with their nomination form to the OGA office (The Old Guildfordians Association, C/- Guildford Grammar School, 11 Terrace Road, GUILDFORD WA 6935) by the 16 September 2015. This document should set out the following information:
(i) Full name and address
(ii) Education history and academic qualifications (summary only)
(iii) Work history (in brief)
(iv) History of service to the community and the Anglican Church (in brief)
(v) Details of parish church membership
(vi) Current and previous association with Guildford Grammar School
(vii) A statement about the extent to which your skills and qualities match those identified as needed by the School Council at this time
(viii) A statement saying why you wish to serve on the School Council.
13. The curriculum vitae supplied by nominees will only be seen by the Management Committee of the OGA and will not be made available to members.
